Frequently asked questions

Do I need to take any action to upgrade to Advanced?

Yes, if you'd like to upgrade to Advanced edition, you'll need to take action. You can start a free trial directly from the Atlassian Marketplace.

Depending on your current feature usage, upgrading to Advanced may be necessary to preserve your existing setup. For example, if you're using or planning to use any of the following, you'll need Advanced:

  • Custom domains
  • Multiple published or public sites (and/or public/published sites with 25,000+ page views monthly)*
  • More than one Refined admin
  • Site admins

*Sites with more than 100,000 page views per month require custom agreements.

How does this impact me from a billing perspective? When will I incur charges if I upgrade? Etc.

Billing is handled entirely through Atlassian’s system, so everything works in accordance with Atlassian’s Marketplace billing policies. If you start a trial of Advanced edition, you'll only be charged when the trial ends and your Refined subscription automatically converts to an active paid Advanced license.

What happens if I don’t upgrade?

If you choose not to upgrade, you'll remain on the Standard plan and retain any of the functionality you have today that’s included in that plan. See “Will I lose access to features if I don’t upgrade?” for a list of features exclusive to Advanced edition.

Will I lose access to features if I don't upgrade? Which ones?

Yes, certain features will be restricted if you're currently using them and choose not to upgrade to Advanced edition. These include:

  • More than one published (active) site
  • More than one public-facing site
  • Custom domains
  • Additional Refined admins beyond the Standard limit (1) (Existing customers will retain Refined admins added prior to release of Advanced, but must upgrade to add more)
  • Additional site admins (Existing customers will retain site admins added prior to release of Advanced, but must upgrade to add more)

If your current setup includes any of the above, you may need to adjust your configuration or consider upgrading to Advanced to maintain access. You’ll be notified in-product if you’re at risk of losing any functionality.

How do I upgrade?

You can upgrade directly through the Atlassian Marketplace by starting a trial of Advanced edition. If you work with an Atlassian Solution Partner, you can also reach out to them for support with the upgrade process.

Can I try Advanced for free? For how long?

Yes, you can start a free 30-day trial of Advanced Edition through the Atlassian Marketplace.

What will Advanced cost?

When do these changes take effect?

The changes are expected to take effect around early June. We’ll share more specific timing as it becomes available.

Why should I upgrade?

Upgrading to the Advanced plan gives you access to powerful features that enhance both site management and user experience. These include:

  • Advanced administration – Tools designed to scale and secure your administration workflows.
  • AI-powered search – An enhanced search experience that helps users find what they need faster.
  • Intelligent site operation – Features to help you monitor, maintain, and optimize your sites and content.
I have Refined Sites for Confluence and Refined Sites for JSM. Do I need to upgrade both?

Yes, if you want access to Advanced features across both products, you'll need to upgrade each one separately – Refined Sites for Confluence and Refined Sites for JSM.

Do advanced features (including AI) store any personal/identifying data?

Some features, like audit logs and analytics, do involve storing user activity data. This data is collected for all customers – only Advanced edition users have access to view and use it.

If you opt-in to use our AI search, we will also store your Confluence content to enable accurate and intelligent search results. This is only done with your explicit consent.

What happens if I trial Advanced and decide to stick to the Standard plan?

If you don’t upgrade after the trial, your plan will downgrade to Standard. You'll continue to have access to Advanced features throughout the trial, even if you cancel early.

Once the trial ends and you're back on the Standard plan, any features exclusive to Advanced will be restricted.

How do I know if Advanced is right for me?

Advanced Edition is ideal if you:

  • Run mission-critical sites where added security and control are necessary
  • Need to publish content to external audiences
  • Want access to advanced features for site administration, optimization, and user experience customization
  • Need to publish multiple sites for multiple purposes or audiences

I use both your apps: Refined sites for JSM and Refined sites for Confluence, can I trial Advanced Plan on one integration at a time?

No, an Advanced trial requires starting a trial for both Refined Sites for Confluence and Refined Sites for JSM together. In other words, you’ll need to trial them as a package, not individually.

How will the new plan impact my sites?

If you upgrade to Advanced edition, your sites will remain exactly as they are – your design, structure, and end-user experience won’t change. What you will gain is access to Advanced features, including AI search for your users and new tools for admins.

If you choose not to upgrade, the impact depends on the features you're currently using. Some features will become restricted under the Standard plan. To understand what’s affected, see “What happens if I don’t upgrade?”

How will the new plan impact my custom domains?

If you're using more than one custom domain, you'll need to upgrade to Advanced edition to continue using them.

If you're using only one custom domain, you can keep it for now – even on the Standard plan. However, a grace period of approximately three months will apply. After that, functionality for that site may be limited (e.g. locked for edits or publishing) unless you upgrade.

Can I remove advanced plan if I realize that I don't need it?

Yes, you can downgrade to the Standard plan at any time. Your access to Advanced features will remain active until the end of your current billing period or trial, after which your plan will revert to Standard.

Will the data that powers Advanced features (such as Analytics) be accessible retroactively if I upgrade later? (e.g. If I upgrade in 2026, can I analyze data from 2025?)

Yes, some analytics data will be stored retroactively, even if you're not on the Advanced edition.

However, the lookback window will be limited. While the exact duration is still being finalized, it will likely be around 30 days.

This means if you upgrade later, you'll be able to access recent historical data (e.g. to investigate something from last week), but not data from several months or years ago.

Continuous access to long-term analytics is only available while you're on Advanced edition.

My organization is on a annual subscription, what does this change mean for our Refined site(s)?

Just like Atlassian products, customers will be able to upgrade the edition of their app in the middle of any billing cycle.

Upgrades will be prorated for the period.

My organization is on a monthly subscription, what does this mean for our Refined site(s)?

Just like Atlassian products, customers will be able to upgrade the edition of their app in the middle of any billing cycle.

I use your Refined Toolkit app, does this change affect the Toolkit app as well?

No, app editions do not impact Refined Toolkit subscriptions.
